Terms and Condition

Booking Terms
A contract between you and Himalayan Voyagers is formed once we confirm your tour/hotel booking or any other travel-related services, and we have received your booking request along with the necessary deposit. All communications regarding your bookings should be directed to Himalayan Voyagers.

Himalayan Voyagers reserves the right to adjust the itinerary as needed to accommodate hotel availability without altering the number of days spent at each destination, and without affecting the services provided. Vehicles used for transportation are either air-conditioned or non-air-conditioned and are available for point-to-point services only (not at disposal). Clients are expected to adhere to the agreed-upon itinerary.

Payments
To confirm your booking, a 50% advance payment is required. The balance payment should be made before the start of your tour. We reserve the right to adjust the advance payment amount based on the nature of the services and the time remaining before the service begins.

Payment Options
Payments can be made via bank transfer, cash payment to our office, or by demand draft/cheque. All payments must be free of any withholding tax or deductions. Any bank charges related to the remittance process (from the sending or intermediary bank) will be borne by the payer.

Itinerary Changes
Once a tour begins, it will follow the agreed itinerary. However, if unforeseen events or circumstances arise, we reserve the right to modify the itinerary for the safety and well-being of the participants.

Cancellation / No Show / Early Departure Policy
If you wish to cancel your tour or services, please inform us in writing. Cancellation charges will apply as follows:

Cancellation Charges:

  • 30 days or more before arrival: 10% of the tour/service cost
  • 20 to 18 days before arrival: 20% of the tour/service cost
  • 14 to 16 days before arrival: 25% of the tour/service cost
  • 10 to 8 days before arrival: 50% of the tour/service cost
  • 7 days or less, or in case of no-show: NO REFUND

Please note: A minimum 10% service charge will apply for any cancellations, even if the above cancellation slabs do not apply. If the trip is canceled after it has started, the refund will depend on what can be recovered from the hotels and service providers. We are not responsible for refunds for unused hotel accommodations, missed transportation, or meals.

Refunds
Refunds for unused or canceled services will be calculated based on the above cancellation policy. Refunds will be processed to the person who made the payment, and the process may take 2-4 weeks depending on banking procedures. If the refund is made to a credit card or bank account, any applicable bank charges will be deducted from the refund.

Liabilities & Limitations
After the tour cost is finalized, any increases in entrance fees, taxes, fuel costs, or guide charges by the Government of India will be charged as extra. Himalayan Voyagers acts only as an agent for the service providers (hotels, airlines, transporters, etc.), and all tickets, receipts, and contracts are subject to their terms and conditions. Sample itineraries are provided as general guidelines, and changes may be necessary due to factors like weather, road conditions, or participant fitness. We reserve the right to alter schedules for the safety and comfort of the group.

Our rates are based on current rates negotiated with service providers, but hotels and airlines may change their rates without notice, and we may need to adjust quoted prices accordingly. Hotel bookings follow standard check-in/check-out times unless specified in the itinerary. We are not responsible for delays or changes caused by natural disasters, flight cancellations, accidents, weather, or other events beyond our control.

Health and Safety
Anyone with a contagious disease is not allowed to travel. If such a person is found during the tour, they will be asked to leave and make their own arrangements to return home.

Passports & Visas
For travelers coming from countries other than Nepal and Bhutan, a passport valid for at least 7 months and a visa are required. The cost of passport and visa processing is not included in the tour price.

Required Documents for Travel

  • Original Passport/Voter Identity Card and a photocopy
  • Passport must be valid for at least 7 months
  • One passport-sized photo for each traveler
  • Original Birth Certificate for any child under 18 years of age

Payment Policy

Payment Terms
A 50% payment of the total package cost, including taxes, and the full amount for the airline services is required. You will receive a booking confirmation voucher within 240 minutes of receiving the payment. Your booking status will be marked as “Booking Hold-Confirmed.”

Once we receive your booking request and deposit, a contract will be established between us, confirming your tour/hotel booking or any other travel-related services you select.

Payments
To secure the services, a 50% advance payment is required to confirm your booking, and the remaining balance should be paid prior to the commencement of your tour. We reserve the right to determine the advance payment amount, depending on the nature of the services and the time left until the services begin.

Payment Options
You can make payments via Bank Transfer, Cash at our office, or by Demand Draft / Cheque. All payments must be made free of any withholding tax or deductions. Any bank charges, whether from the remitting bank or an intermediary bank, are to be borne by the payer.

Booking Fee Payment Policy
• 30 or more days before departure: 50%
• Between 29 to 20 days before departure: 75%
• Between 19 to 7 days before departure: 100%

Cancellation / No Show / Early Departure Policy
If you need to cancel your tour/travel services due to any reason, avoidable or unavoidable, you must inform us in writing. The cancellation charges will take effect from the date we receive your written cancellation, and they are as follows:
